maybe you can try to bring with you a letter saying you want to cancel the pre-aurthozie debt agreement, and have time stamp received or obtain a signature from them. That way, even if you are not able to get back the void chq, but at least you have proof that you told them to cancel the PAD, if they still take money out from your account in the future, you have some kind of doc. to support your case.
My experience with strata management is to NEVER call them but write emails instead (reply 1000 times faster and with written evidence).

Thanks for the advises. I will bring the letter with me when I go to their office on Friday. I'm a little bit worry and uncertain they will sign the letter as long as they are totally ignore me & never return call even the account manager knows what happen.
which bank you deal with, normal all you have to do is ask the bank to stop the auto payment作者: cremedelacreme 時間: 2011-8-17 00:36
just call telephone banking or go to the bank and place a stop payment. They can do stop payment for lost cheques, and or also pre authorized payments.

TD told me as long as i had given the void cheque together with pre-authorized debit agreement (pda) to the property mgt co. that means we consent they can take $ from our account. The only way to stop payment is taking back the void cheque or get their official notice of stop payment. Otherwise, closing account is the final option. Honestly, I do feel ridiculous and feel insecured for what i was told by TD.
I can accept if they say their record is not updated, they make mistake or whatsover excuses. Yet, the account manager never stand out to solve problem instead of ignoring me. I lost confident for this co to collect bills from landlord's account and it is not the first time I receive their payment reminder even we had already paid. i never encounter such problems with my townhouse's property mgt co whereas they even have a "black & white" note to tell you how to stop pre-authorized payments if we want in the future.
We plan to drop by their office on Friday and we hope this issue can be settled asap.
Ask TD or your management company for your pre-authorized debit agreement (PDA), or even a BLANK one. There should be a clause on the terms on how to cancel the EFT, and the steps on how to do it. (Likely you have to formally submit your request by writing, not just calling them or show up at their office.)
I highly doubt you need to get back the void cheque. The purpose of the void cheque is only to help to set up the EFT correctly and ensuring the right account and bank number are used.
Even if you give someone a signed cheque, you can stop payment without getting back the actual cheque.
Something similar happened to me once but with credit card company and no they can not do a stop payment on pre-authorized debit, you have to get the other party to stop that. I was told that after you signed that agreement they have the right to withdraw money as long as you still hold that account even after their whatever service is no longer needed also trying to get these unauthorized payments would be pain in the a** so I always avoid going into pre-authorized debit agreement. I'll just write my checks or making payments through online banking, yes it is inconvenience but that convenience might come with a big price tag.
Oh I even had mortgage payments deducted from me after I paid off the mortgage and getting it back was a big headache! Just try not to sign these agreement if you don't have to that's my 2 cents! Hope everything works out for you at the end!

Thanks everyone input and advises.
I called the mgt co yesterday, as usual, I failed to talk to the people working in account dept. Then I called again & asked the receptionist (later i found she is also AA) how to cancel pre-authorized debit. Surprisingly, she has an access to review my account and confirmed they had charged us 2 months strata fees. If I want to cancel PAE, simply email her & she will settle for us. This issue had been bothering us for almost 2 weeks. Can you believe it is settled by a AA, not the one working in account dept?! It is really interesting.
Anyway, she was speedy to confirm our PAE has been terminated by email return & cc to account manager as we mentioned we want to get back the void cheque, if possible. The account manager finally "wake up" and replied they need to keep it.
Like Stevvo said, we will settle the bill by issuing cheque instead of pre-authorized debit in the future. It is inconvenience, at least it is peace of mind though.
Cheques will have its own set of problems and frauds.
Unlike in Asia, Banks in Canada don't verify cheques of "small amount".
Unless someone come up with a better solution writing checks is the better option then giving someone rights to go through my account!
